OCCUPATIONAL SUMMARY

Provide secretarial and clerical support for the Human Resources Office and Affirmative Action Office. Assist in benefits and compensation administrative activities.

WORK PERFORMED

Act as secretary and receptionist for the Human Resources and Affirmative Action; screen incoming calls and correspondence and respond independently when possible.

Review, rewrite and prepare job postings internally and externally to ensure they are in compliance with the University’s Affirmative Action Program. Post positions internally, on the web, and with vendors.

Maintain and purge files, resumes and applications as appropriate.

Recordkeeping for Request to Fills and Affirmative Action Data Cards.

Use of Peoplesoft Financials for advertisements and office supplies.

Use of Peoplesoft for hiring of new employees.

Implementation of outside temporary placement service. Involves coordinating with departments, determining their needs, checking with the temporary service agency and matching employment needs.

Coordinate the completion and filing of disability, and workers compensation claims with appropriate agencies.

Establish and maintain orderly Human Resources filing system to include disability, worker’s compensation, personnel and pension file system for faculty, administrative and general staff employees.

Respond to request for verification of employment requests for employees.

Audit bi-weekly payroll.

Assist in the process of H1 visas.

Assist Affirmative Action Officer in the search process and statistical analysis of the Affirmative Action Plan.

Assist in the preparation and distribution of Performance Evaluation and Merit Pay materials.

Prepare staff manual and insurance packets for distribution.

Perform other related duties incidental to the work described herein.


QUALIFICATIONS

Three to five years secretarial experience required. Working knowledge of Microsoft Office Suite, organizational ability and effective public relations skills required. Peoplesoft experience helpful. Ability to manage several tasks concurrently while maintaining professional office environment.
